AI ROI estimator
Estimate the hours and cost a task could give back if you automated it, using your own numbers. It's a rough estimate to help you decide what's worth a closer look, not a quote. Everything runs in your browser, and nothing you enter is saved or sent.
How the math works
The formula, in the open
There's nothing hidden here. The estimate is your numbers, multiplied out. The only judgment call is how much of the task's time an automation could actually take, and you set that yourself.
- Hours saved a yeartimes it runs a year × minutes each ÷ 60 × share of time removed
- Cost saved a yearhours saved × your fully-loaded hourly cost
- Paybackyour one-time build cost ÷ monthly net savings
For a daily frequency we count 260 working days a year. Cost and payback only appear once you add your own rates, and if an ongoing running cost would wipe out the savings, the tool says so instead of showing a number.
A worked example
What that looks like
Take a generic task: it runs 40 times a week, takes 15minutes each time, and you reckon an automation could take 70% of that time off your plate.
That's 40 × 52 = 2,080runs a year, at 15 minutes each, 70% of which comes back: about 364 hours a year. Say that hour costs you $40 fully loaded (your number, not ours), and that's roughly $14,560 a year. Illustrative only, not a real client.
Try it
Estimate your own
Fill in what you know. Hours appear as soon as you've entered the first three; add rates for cost and payback. Nothing you enter leaves your browser.
Enter how often it runs, the minutes each time, and the share of time removed, and your estimate shows up here.
0 hours a year
About a year at that rate.
After the automation's running cost, about a year.
A build at that cost pays back in .
At these numbers, the ongoing cost eats the yearly savings. Worth a closer look before building.
This is a rough estimate from the numbers you entered, not a quote or a promise. A real build gets scoped, priced, and tested. To judge whether a process is a strong candidate in the first place, use the Automation Score.
Where it goes next
From an estimate to a plan
A number on its own doesn't tell you whether to build. Pair it with the Automation Score to check the process is a strong fit, then the AI Opportunity Matrix to rank it against your other options. The Free AI Opportunity Assessment is where we run all of this on your real processes and hand back an ordered list of what's worth doing.

This tool gives you a rough figure. The Free AI Opportunity Assessment is a no-cost look at how your business runs, where we find the opportunities, estimate what they'd return, and tell you honestly which are worth building.
Common questions
- How does the ROI estimator work?
- You enter how often a task runs, how long it takes each time, and how much of that time you think an automation could remove. The tool multiplies those out into hours saved a year. Add a fully-loaded hourly cost and it shows the dollars; add a build cost and it shows a rough payback period. Every figure comes from your numbers, and the formula is written on the page.
- Is the estimate a guarantee of savings?
- No. It's a rough estimate built only from the numbers you enter, meant to help you decide whether an opportunity is worth a closer look. It isn't a quote or a promise. A real build gets scoped, priced, and tested, and the actual return depends on the specific work.
- Does the tool use industry averages or assumptions?
- No hidden ones. The only judgment input is how much of the task time an automation would remove, and you set that yourself. The tool counts 260 working days in a year when you enter a daily frequency, and it states that on the page. There are no assumed savings multipliers.
- Is anything I enter saved or sent anywhere?
- No. The estimator runs entirely in your browser. Nothing you type is stored, sent to us, or shared, and there is no signup or email step. You can check your browser network tab: entering numbers makes no requests.
